The Role
We’re on the lookout for a reliable and detail-oriented Office Administrator to support our Te Puna site operations.
In this role, you’ll work closely with the Office Manager and HR Advisor to ensure smooth day-to-day administration, efficient time and attendance processing, and seamless seasonal recruitment. You’ll also be the welcoming first point of contact for visitors and staff, helping keep our busy site organised, connected, and running efficiently.
What You’ll Be Doing
- Provide professional front-of-house and reception support – greeting visitors, answering calls, and handling general enquiries.
- Assist the Office Manager with payroll and time & attendance tasks, ensuring accurate and timely entry of staff hours.
- Maintain HR and payroll records in our HRIS system and help resolve staff queries.
- Support the HR Advisor with seasonal recruitment, including processing applications, checking work eligibility, and ensuring all onboarding documentation is complete.
- Help organise meetings, prepare agendas and minutes, and coordinate site functions or events.
- Maintain confidentiality in all HR and payroll matters.
- Support other DMS site staff and departments (e.g., Finance, Health & Safety, Quality) with administrative needs.
- Contribute to continuous improvement discussions and seasonal debriefs.
- Promote health, safety, and well-being in the workplace.
What You’ll Bring
- Proven administration experience in a busy, fast-paced environment.
- Strong Microsoft Office skills (Word, Excel, PowerPoint).
- Exceptional organisation and attention to detail.
- Friendly, approachable, and professional communication style.
- Ability to manage multiple tasks and priorities calmly and efficiently.
- High standards of confidentiality and accuracy.
- Cultural awareness and the ability to work effectively with a diverse workforce.
- Flexibility to work varied hours during peak season (March–June).
Preferred:
- Experience with HRIS, payroll, or time & attendance systems.
- Experience in the kiwifruit or other seasonal industries.
